Use this file to create and keep track of project budgets and fee proposals for your clients. The Budgeting section allows you to prepare a project estimates for lump sum architectural services, hourly architectural services, consultant services and reimbursable expenses. Information is related from other files such as the Project section for project information and the Contact section for client information (Project Owner). Integratis allows project budgets to be broken down by Phase then Service then Line Item. Each Line Item may be broken down by Principal Hours, Project Manager Hours, Project Architect Hours, Interior Design Hours, Construction Administration Hours, Administrative Support Hours and a Stipulated Sum (or Lump Sum). In addition, Integratis tracks Not-to-Exceed Information for Hourly Services and Reimbursable Expenses by Phase/Service and Consultant Lump Sum Information by Phase/Service. The Project Budget ties all this information into a series of forms which you may print.
Phases
List of Phases
List of Phases is a list of all the phase/service items created for a project. Create a new record for each Phase/Service you wish to create for each project. To create a new phase/service, click the “+” button and then the Business: Project Budget - Project Phase / Service Detail page will appear. Click in the Phase No. field to select a phase from the pop-up list. Service No. and Service fill in with "00" and "Basic Service" respectively automatically which may be edited. Click in the Service No. field to select a service from the pop-up list. If the desired Service is not on the list, scroll to the bottom of the list and select “other”. Project Ally allows unique items to be added here (to edit the value list, go to Integratis > Preferences > Values Lists and select Services field). Integratis Inc. allows Project Budgets to be broken down by Phase then Service then Line Item.
The Prime Lump Sum Information section contains the Line Items that may be broken down by Principal Hours, Project Manager Hours, Project Architect Hours, Interior Design Hours, Construction Administration Hours, Administrative Support Hours and a Stipulated Sum (or Lump Sum). There is a date field provided for each line item to denote if additional services are added at a later date. Enter Billing Rates for each type of hours. At the top right of the page Service Total, Phase Total and Project Total are calculated automatically. Percent Complete is used for invoicing (see Help section Invoices for more information).
The Consultant Lump Sum Information section contains consultant compensation information by Phase/Service. To add a consultant to the list, click the “+” and select a company name from the pop-up list. If the consultant is not in the list, be sure the information has been add to the Contacts file and be sure “Consultant” has been selected for their Company Type. Fill in the Consultant Role, Compensation and Date fields.
Project Summary
Phase Summary is a summary of phases for a project that were created within the Phase Detail List tab. Click on the gray arrow in the portal to see a phase summary detail. Each phase summary detail contains a list of the prime and consultants involved in the phase with the Phase Total Per Firm and Project Total Per Firm automatically calculated.
The ‘Not-to-Exceed’ Information section provides a field for Amount Not-to-Exceed for Phase/Service, a field for Hourly Services Notes and automatically calculates the Total Amount Not-to-Exceed for the Project for both Hourly Services and Reimbursable Expenses.
To print the Prime Lump Sum Information, go to the Business: Project Budget - Project Phase / Service Detail and choose the printer symbol in that section.
To print the Consultant Lump Sum Information, go to the Business: Project Budget - Project Phase / Service Detail and choose the printer symbol in that section.
To print the Project Budget/Fee Proposal choose the printer symbol on the Phase Summary tab.
To print the Project Budget/Fee Proposal detail, choose the printer symbol on the Phase Detail List tab
Access Privileges
Only Principal, Associate and Business Administration passwords allow creating records, editing records, and deleting records.
