Often times people want to get involved but aren't sure where they might fit into the organization and other times volunteers feel overwhelmed because they have more needs that resources. An interest and talents survey can help!
Talent Survey
The Talent tab shows Talents and Skills that a member is willing to share. Click on the Parents tab and then the Talents tab.
- Under the header Talents are checkboxes of different types of talents. To edit this list to suit your organization, click on the downward triangle-shaped button at the bottom right of the Talents checkbox field. A list of talents will appear. Scroll to the bottom and click on Edit. A separate window will appear to allow editing of the list. Click OK when finished. Keep in mind that if a talent is deleted from the list and someone has been marked as having that talent, it does not delete that talent from person. Before deleting or changing a talent, perform a find to see who has been marked as having the talent and edit accordingly.
- To preview a printable Talent and Skills Survey, click on the document button Talent Survey. If the Member has not been assigned any Interests on page 2, you may assign them by clicking on the Interests tab. If you would like to survey the member for their interests, use page 1 of the Talent Survey and the Interests List from the Interest tab as page 2, etc. instead of page 2 of the Talent Survey.
- Use the Skills field to make notes about any talents or skills a member might have.
- To send an email to everyone with a needed talent, click Find at the top of the window, click on a talent to enter your search criteria, click on Perform Find at the top of the window, click on List in the upper right hand side of the window (in the blue bar). If the list of names shown is what you want, click on the Send Email button at the top of the list.
Interests Survey
The Interests tab shows volunteer opportunities that interest a member. Click on the Parents tab and then the Interests tab.
- To add an interest, click on the Add Interest button in the lower left hand corner. A new window will open and click on a committee to add it to the member's Interests list. To Cancel, just close the window.
- To create a new committee, click on the Add Interest button in the lower left hand corner. A new window will open, click on Add New Committee Category at the top of the window. To Cancel, just close the window.
- To delete an Interest from a member, just click on the trash can icon.
- To preview a list of members interested in or belonging to a committee, click on the document icon to the left of a committee in the list.
- To preview a list of all members interested in a committee or assigned to a committee, click on the Committees List document button in the bottom right hand corner.
- To send an email to everyone assigned to a committee, click Find at the top of the window, click in the Committees field and enter your search criteria, click on Perform Find at the top of the window, click on List in the upper right hand side of the window (in the blue bar). If the list of names shown is what you want, click on the Send Email button at the top of the list.
- To preview a blank printable Interests Survey, click on the document button Interests List.
- To create an individual Talents & Interests Survey, click on the Talents button and then click on the document button Talents Survey. The Interests portion is on page 2.
Committee Members
The Interests tab lists members that are already committed to a committee. Click on the Parents tab and then the Interests tab.
- To add a committee to a member, click on the Add Interest button in the lower left hand corner. A new window will open and click on a committee to add it to the member's Interests list. To Cancel, just close the window.
- To create a new committee, click on the Add Interest button in the lower left hand corner. A new window will open, click on Add New Committee Category at the top of the window. To Cancel, just close the window.
- To delete an Committee from a member, just click on the trash can icon.
- To indicate a member's level of interest in a committee, use the Position field and enter a description (i.e. Chairperson, Member, Interested).
- Use the Comment field to make notes about an individuals role or interest in the Committee.
- To preview a list of all members interested in a committee/assigned to a committee, click on the Committees List document button in the bottom right hand corner. To omit members from the list based on Position, go to View > Find Mode and click in the Position field in the upper right hand corner. for example:
- If you want to omit members marked as "Interested" then enter "Interested" as search criteria and then click "Omit" for Matching Records. Go to Requests at the top of the page and choose Constrain Found Set. Then click on the Preview button or go to View > Preview Mode.
- If you want to only include members marked as "Chair" then enter "Chair" as search criteria and then click "Include" for Matching Records. Go to Requests at the top of the page and choose Constrain Found Set. Then click on the Preview button or go to View > Preview Mode.
- To send an email to everyone assigned to a committee, click Find at the top of the window, click in the Committees field and enter your search criteria. Click on Perform Find at the top of the window, click on List in the upper right hand side of the window (in the blue bar). If the list of names shown is what you want, click on the Send Email button at the top of the list.
- To send an email to committee chairpersons, for example, click Find at the top of the window, click in the Position field and enter "Chair" as your search criteria. Click on Perform Find at the top of the window, click on List in the upper right hand side of the window (in the blue bar). If the list of names shown is what you want, click on the Send Email button at the top of the list.
